QuickBooks Online is the better fit for most US small businesses that want a deep feature set and easy access to bookkeepers, while Xero suits growing teams that want to add staff and advisors without paying more per seat. Both are mature cloud accounting platforms with bank feeds, invoicing, bill tracking and solid reporting, so the decision rests on users, plan limits, payroll and who will keep your books.
We rate QuickBooks Online 4.7 out of 5 and Xero 4.6, the top two cloud picks on our ranked list of the best accounting software for small business. Here is how they compare on the points that matter most when you choose.
Pricing and plan structure
QuickBooks Online has four plans. Simple Start costs $38 a month for one user, Essentials costs $85 for three users, Plus costs $140 for five users and adds project tracking, job costing and inventory, and Advanced costs $340 for up to 25 users. Every plan comes with a 30-day free trial, and Intuit often discounts the first few months.
Xero has three US plans. Early costs $27 a month but caps you at 20 invoices and 5 bills. Growing costs $59 and removes those caps, and Established costs $97 and adds multiple currencies and project tracking. Xero bills by plan, not by user, and it also offers a 30-day trial.
Winner: Xero. For a business with three or more people in the books, Xero Growing at $59 costs less than QuickBooks Essentials at $85, and you never pay for extra seats. The real comparison is Xero Growing against QuickBooks Essentials, because the Early plan’s caps rule it out for most active businesses.
Users and collaboration
This is the clearest difference between the two. QuickBooks ties the number of users to the plan, so a company with four people who need access must buy Plus, even if it does not need Plus features. Xero includes unlimited users on every plan, which makes it easy to give an office manager, a part-time bookkeeper and an outside advisor their own logins with different permissions.
Winner: Xero. If your team or advisor list is likely to grow, Xero’s flat pricing is a real saving and removes the temptation to share logins, which weakens your audit trail.
Core accounting and reporting
Both tools handle the daily work well. Each connects to bank and card feeds, suggests matches during reconciliation, tracks bills and invoices, and produces standard reports on a cash or accrual basis. Xero’s reconciliation screen is especially clean, and many bookkeepers like how quickly it moves through a month of transactions.
QuickBooks goes further on the higher tiers. Plus adds project profitability, job costing and inventory tracking with cost of goods sold, and Advanced adds deeper custom reporting and more users. QuickBooks also includes multiple currencies from Essentials upward, while Xero holds multicurrency and projects back for Established. Both include 1099 management for contractor payments.
Winner: QuickBooks Online. It offers more ways to grow inside one product, especially for service firms that need job costing and product businesses that need inventory without a separate app.
Payroll
QuickBooks sells its own payroll as an add-on, and it runs inside the same account, so pay runs post to the ledger without a separate login. Xero does not run US payroll itself. It partners with Gusto, which you pay for separately, and payroll entries sync into Xero.
Gusto is a strong payroll product, so this is not a weakness in quality. It is a difference in convenience and billing: two vendors, two bills and two support teams.
Winner: QuickBooks Online, for businesses that want payroll and accounting from one vendor. If you already use Gusto, the gap disappears.
Integrations and your accountant
Both platforms have large app marketplaces covering payments, ecommerce, bill pay, expense management and inventory. Stripe, Square, Shopify and the major expense tools connect to both.
The bigger question is people. QuickBooks Online has the largest pool of US bookkeepers and accountants who know it well, which makes it easier to hire help or replace a bookkeeper who leaves. Xero has a strong following among accountants who serve growing and international businesses, but the pool of Xero specialists in the US is smaller.
Winner: QuickBooks Online. If your accountant already uses Xero, flip this result, because a tool your accountant knows saves real money at year end.
Ease of use
Xero has a cleaner, calmer interface, and owners who are not accountants often find it easier to learn. QuickBooks packs more features onto its screens, which helps experienced users and can overwhelm a new owner on the higher plans. Both have good mobile apps for receipts and invoices.
Winner: Xero, by a small margin, for owners who handle their own books.
Support and contract terms
QuickBooks offers phone and chat support during extended business hours, and Advanced includes 24/7 support. Xero runs support online through its help center and case system and does not offer a phone line. Both bill monthly with no annual contract required for standard plans.
Winner: QuickBooks Online. Owners who want to talk to a person when something breaks at month end will prefer it.
What a typical team pays
Sticker prices only tell part of the story, so it helps to price a real setup. Take a five-person service business where the owner, an office manager and an outside bookkeeper need access, and the firm wants to track profit by project.
- On QuickBooks Online, three users fit on Essentials at $85 a month, but project profitability requires Plus at $140. That is $1,680 a year before payroll.
- On Xero, users are unlimited, but project tracking requires Established at $97 a month, or $1,164 a year before Gusto payroll.
Now take the same business without project tracking. Xero Growing at $59 covers everyone for $708 a year, while QuickBooks Essentials at $85 costs $1,020 a year and tops out at three users. If a fourth person needs access, QuickBooks pushes you to Plus.
Add payroll to both sides before you compare totals, and remember that promotional discounts in the first months do not change the regular price you will pay from then on. Payment processing fees for card and bank payments on invoices also apply on both platforms, so check current rates on each vendor’s site.
Winner: Xero for most small teams on total cost, unless you need features that only QuickBooks Plus or Advanced provide.
Which should you choose?
Pick QuickBooks Online if you want the most features under one roof, plan to add payroll from the same vendor, need job costing or inventory, or want the widest choice of bookkeepers. Expect to pay more as you add users.
Pick Xero if several people need access, you invoice or pay in more than one currency, your accountant works in Xero, or you prefer a cleaner interface and lower monthly cost. Budget for Growing rather than Early, and for Gusto if you run payroll.
Before you decide, run both trials on a real month of your own transactions. Connect your bank, reconcile, send a few invoices and run the reports your accountant asks for. The tool that makes that month easier for the people who will use it most is the right one.

Frequently asked questions
Is Xero cheaper than QuickBooks Online?
Usually, yes. Xero’s plans run $27 to $97 a month with unlimited users, while QuickBooks Online runs $38 to $340 and limits users by plan. For a team of three or more, Xero Growing at $59 costs less than QuickBooks Essentials at $85. The gap narrows if you need Xero Established for projects or multiple currencies.
Can you move your books from QuickBooks Online to Xero?
Yes. Conversion tools can carry over your lists, balances and history, and many accountants handle the move for clients. Plan the switch for the start of a month or fiscal year, bring over opening balances, open invoices and open bills, and keep read-only access to QuickBooks for at least a year so you can answer questions about older transactions.
Which is better for a business with employees, QuickBooks Online or Xero?
QuickBooks Online is simpler if you want payroll from the same vendor, because Intuit’s payroll add-on runs inside your account. Xero relies on Gusto for US payroll, which works well but adds a second vendor and bill. If you already pay employees through Gusto, both tools work equally well for you.
Do accountants prefer QuickBooks Online or Xero?
In the US, more accountants and bookkeepers work in QuickBooks Online, so it is easier to find help. Xero has a loyal following among firms that serve growing and international clients. Ask your own accountant before you choose, because a tool they already know shortens year-end work and can lower what you pay them.
